OBJECTIVE:
The Extracurricular Activities Manager develops a high-quality extracurricular experience for pupils at school and in the wider Hiba community using school resources. Extracurricular projects include CCA programme, Academy, holiday camps, weekend activities, off-campus trips, and more.
This is an exciting and demanding role that requires flexible working hours which include evenings and weekends. It is a key position in the organisation that is highly challenging, suitable for those with excellent leadership, communication, time management and organisational skills.
KEY RESPONSIBILITIES
- Plan and orgnaise a variety of extracurricular activities to ensure the holistic development of pupils and support overall learning outcomes
- Responsible for the end-to-end administration and coordination of extracurricular activities, including onsite facilitation
- Enroll teachers from the school/sister schools into the extracurricular activities and work with them to develop extracurricular activities
- Work with Marketing and Admissions team to promote extracurricular activities and ensure sufficient sign ups
- Create promotional literature and digital content or other forms of marketing materials to advertise and grow extracurricular activities
- Prepare schedules for various co-curricular and extracurricular activities
Oversee the timetabling and line management of all the peripatetic music teachers, in liaison with key academic staff
- Prepare financial projections for each extracurricular activities and actual finance reports after each activities
- Collect feedback on the extracurricular activities from all stakeholders. Follow up on parents inquiries and ensure the service we provided could meet their requirements
- Collaborate with other partners to offer extracurricular activities at the school. Negotiate and monitor contracts with vendors.
- Manage risk assessments for extracurricular activities and ensure appropriate insurance is in place for all activities.
- Review extracurricular activities for their suitability and effectiveness
- Any other duty or responsibility related to managing the extracurricular activities, as assigned by the Second Master.
BASIC QUALIFICATION
- Bachelor’s degree
- Experience of leading or coordinating curricular and pastoral teams
- Experience of effective coordination of an extracurricular activity
- A minimum of three years of experience working in a Manager/Coordinator role
Fluent in English and Chinese
PREFERRED APTITUDES
- Flexible working schedule willing to trade days on/off of work
- Excellent and effective communication skills with pupils, staff and parents, with good written communication skills
- Highly motivated, ambitious and collaborative and willing to take the initiative
