Description & Requirements
OBJECTIVES
- The role will be based at the main reception as first person that parents, children, external agents and staff meet. The professional image and conduct of this person is crucial in emulating the ethos of the setting. Reporting to the School Office Officer, this person must operate in a timely, determined, and effective manner at all times.
- The role will include managing communications making notes to be actioned, providing information and responses with accuracy and competence. Additionally, the receptionist will seek responses to requests where necessary and direct enquiries to the appropriate destination when required. Autonomous, determined, and professional behavior will be key features of the post-holder’s practice, and these will be consistently demonstrated at all times. The post-holder must be able to communicate effectively with parents, team members and external agents involved in the school.
KEY RESPONSIBILITIES
- Complete daily tasks according to the Receptionist SOP.
- Direct enquiries to the relevant staff or seek the relevant person to deal with enquiries from pupils, parents, and staff.
- Feedback to enquirer in a timely and professional manner and provide follow-up when needed.
- Play a key role in parent communication including phone calls and walk-ins.
- Keep accurate pupils’ record including lateness, early leaves, late pickup, etc.
- Provide a professional front of house service, including translation as necessary and generation of records within the data management system.
- Demonstrate flexibility and co-operation in duties, ensuring that help is provided where required.
- Provide support to school events and activities when needed.
- Provide support to timetabling, documentation and admin support to the School Office Officer when needed.
JOB QUALIFICATION
EDUCATION
Undergraduate, administration or related major preferred.
LANGUAGE
Fluent written and spoken English, minimum CET 6.
WORKING EXPERIENCE
Similar administrative or school internship/work experience is a plus.
EXPERTISE
• Fluency in English and Chinese
• Ability to deliver excellence in service at all times.
• Strong skills in Microsoft Office (Excel and PowerPoint).
• Excellent communication and interpersonal skills; proven ability to communicate effectively with different types of people and in cross-culture environment.
• Ability to multi-task, prioritise and work to tight timelines.
